Free Live Book Brief — session emails and the join link

The emails you receive after registering for the free live Book Brief session, and where to find your join link.

Free Live Book Brief — session emails and the join link

When someone saves a place for the Free Live Book Brief, the Studio schedules the whole session sequence automatically. There is no second email system: this runs on the same engine that already powers the workshop reminders, so suppression, idempotency, editable copy and the "run the dispatcher now" action all behave exactly as they do for workshops.

What gets sent

WhenEmail
Immediately on registrationYour place is saved
Two days beforeBring one message, not five
The day beforeTomorrow we build your Book Brief
One hour beforeOne hour to go
Five minutes beforeFive minutes — come in
At the start timeWe're live now
Fifteen minutes after the startYou're not late — come in

Anyone who registers late only receives the steps still ahead of them. The confirmation always sends.

Each Free Brief session is bound to its own delivery record. The Zoom room is never created behind your back: in Events Centre, open the session and press Create the Zoom room for this session. Once it exists, every reminder carries that join link. Until then the emails point to the Free Brief page itself, so nobody is left without a way in.

Editing the copy

Events Centre → choose the Free Book Brief session → Wording for these emails. The same seven emails also appear in Admin → Email templates → Free Book Brief. Subject and body are editable, exactly like the workshop sequence.

Scheduling next week's session quickly

In Events Centre → Create live session, choosing Free Live Book Brief offers Use a previous session as a starting point. Pick a past session and the name, places, time zone and session length are filled in for you. You still choose the new date and time, and the finish time works itself out from the length you copied. The public address is always a fresh one, and nothing from the old session — its code word, its joining link, its registrants or its history — comes across. Nothing exists until you press Create session in test mode.

What this is not

These are triggered session emails for people who registered. Promoting the session to a wider list is a marketing campaign and belongs in a dedicated email marketing tool, not here.

Keeping Brief building for the people in the room

Events Centre → the Free Book Brief session → Who can build a Brief. Set one word there and say it out loud during the call. Until a registrant types that word back on the session page, Brief building stays shut, even while the window is open. Once they enter it, the unlock is recorded against their own place, so losing connection or refreshing never costs them access.

Leave the word empty and anyone registered can build a Brief during the live window, which is how the session behaved before. The joining link is never affected by the word — everyone who registers still gets in.

One card for every Book Brief email

Each session in Events Centre now shows a single "Email sequence & wording" card. It lists the seven emails before and during the session and the seven after-session follow-ups (Came live, Watched the replay, Missed the live session). Open any email to see the real preview, edit the subject, wording or button, send yourself a test, or reset it. Saved wording applies to every Book Brief.

Follow-up runs on its own after the session: attendance is pulled from Zoom and each person receives the right branch. Anyone whose attendance can't be confirmed is held until it is marked. A small "Sync now" link forces an immediate run if you don't want to wait.

Warm invitation to past sign-ups

Three editable emails (honest check-in, sermon vs book, tonight) invite people who registered for an earlier workshop to the next free Book Brief. Each one names the session they originally signed up for and when, using that person's own registration. Edit them under Email templates → "Free Book Brief · Warm invitation (past sign-ups)".
